What information do we collect
Data collection is limited to the following:
(a) Member name
(b) Contact data - i.e. home address, email, telephone number(s)
(c) Emergency contact data (name, phone number)
How do we collect it
The information is collected when an individual joins the Club, or when an existing member advises a change of details.
Why do we collect it
Member name (a) and contact data (b) are used to enable information to be communicated to all members in an efficient and cost effective manner.
Emergency contact data (c) would be used e.g. where a member is taken ill or has an accident at the Club.
How we store the information
The information is held on an Excel spreadsheet Contact List which is managed by the Club Secretary.
Who we share it with
Full contact details are available to all committee members.
Email addresses are visible on emails issued to all Club members by the Club Secretary.
Apart from the above, no details are shared without the consent of the member(s) concerned.
How long we keep it
A member's Contact List record is kept for as long as he/she remains a Club numbers; the details are removed when an individual leaves.
The Contact List is reviewed annually.
Members rights
The data collected by the Club is minimal and confined to that necessary to fulfil its functions. We therefore have a legitimate interest in collecting, holding and sharing the data as declared in this Privacy Statement. Members retain the right to request that their data is removed from the Club records; the request should be addressed to the Club Secretary who will arrange for the data to be removed within 28 working days.
This Privacy Statement satisfies your rights under the General Data Protection Regulations.
